Staff Position Details
Facilities LiaisonPre-convention duties may include:
-Answering venue specific questions from Anime Boston staff members, escalating to the Facilities Manager and/or venue contacts as needed
-Correspondence with venue contacts via E-mail
-Meeting with venue contacts in person to discuss potential plans for the convention and/or deliver/receive time sensitive materials.
-Reviewing room layout plans
-Confirming room assignments for Anime Boston staff meetings and the availability of an overnight room if the meeting is held at a hotel.
-Keeping a database of venue contracts on file and up to date
-Monitor and maintain attendee room blocks status. (Checking for price discrepancies, sell outs, and broken reservation links, and listing on animeboston.com)
-Attending pre-con meetings with venue contacts
On-site duties may include:
-Securing/opening door locks to rooms restricted to Anime Boston staff access only
-Addressing Anime Boston staff hotel room issues if the head of Staff Logistics is unavailable
-Dispense important information between venue contacts and AB staff via radio or face to face meeting
-Informing venue contacts of safety, security, and cleanliness concerns that arise during the event
-Addressing other facility related concerns if the Facilities Manager is unavailable.
The ideal candidate for the Facilities Liaison position will have served on Anime Boston staff for at least one previous event. The candidate should demonstrate strong written and verbal communication skills and a knack for working with many different departments, both internally with Anime Boston staff and externally with the staff of venues used by the convention. The Facilities Liaison will often serve as the face of Anime Boston to venue contacts. The ideal candidate must also show an ability to creatively solve problems that may arise during the event, often finding creative compromises between AB staff and venue contacts.
This position is strongly recommended to staff members who wish to learn more about the planning process for Anime Boston and hope to grow as a staff member.
Please note that due to the nature of the position, the Facilities Liaison may be required to arrive on-site the afternoon of the Wednesday before Anime Boston, and remain until the afternoon of the following Monday.
The facilities liaison must be willing to work later hour shifts during the convention (ending around 2AM) to ensure that Anime Boston staff always has facilties contact on duty while programming is taking place. Living within an hour's drive time of Boston is a plus for potential candidates due to the possibility of meetings before the event, but is not required.
